5. Our Lawful Basis for Processing

We only process personal data where we have a lawful basis to do so. Depending on the circumstances, we may rely on the following:

  • Contract: Where processing is necessary to fulfil an order, deliver our products or services, or respond to a request prior to entering into a contract.
  • Legitimate interests: Where we process personal data for legitimate business purposes, including managing customer and dealer relationships and promoting our products to relevant B2B contacts. We always provide a clear way to opt out of marketing communications.
  • Consent: Where you have actively opted in to receive certain communications, such as checking the marketing consent box during checkout, subscribing to our email newsletter, or where consent is required for marketing or retargeting cookies or other tracking technologies.
  • Legal obligation: Where we need to keep or use information to comply with legal, tax, accounting or regulatory requirements.

6. Marketing Communications

We may contact individuals at businesses where we believe our products or updates are relevant to their professional role or organisation. This may include contacts in the foodservice, hospitality, healthcare, catering and related sectors.

Where we send B2B marketing communications, we rely on legitimate interests unless consent is required or has been specifically obtained.

All marketing emails include a clear way to unsubscribe. You can also opt out at any time by emailing accounts@regale.co.uk. If you opt out, we may retain a minimal record on a suppression list to ensure we do not contact you again for marketing purposes.

7. Email Marketing and Mailchimp

We use Mailchimp as our email marketing automation platform. If you actively check the marketing opt-in box during the checkout process, or subscribe via our site forms, your name, email address, and basic purchase data are transferred to Mailchimp to manage campaigns, newsletters, and product updates.

Mailchimp may also process your subscription preferences and engagement data (such as whether an email has been opened or a link clicked) to help us improve our communications.

You can unsubscribe at any time using the unsubscribe link located at the bottom of any marketing email, or by contacting us directly.

8. Website Analytics and Cookies

Our website uses cookies and similar technologies to help it function, to understand how visitors use it, and to serve relevant marketing to people who have previously visited our site.

Non-essential cookies — including analytics and marketing cookies — will only be set with your consent. You can manage or withdraw your consent at any time via the cookie preferences link in the footer of our website, or through your browser settings.

For full details of the cookies used on this website, please see our separate Cookie Policy.

9. Sharing Personal Data

We do not sell personal data.

We may share personal data with trusted third parties where necessary, including:

  • Email marketing platforms, specifically Mailchimp.
  • Website hosting and IT support providers.
  • Cloud storage and email providers.
  • Accountants, bookkeepers and professional advisers.
  • Delivery and logistics partners.
  • Advertising and retargeting platforms where consent has been obtained.
  • Legal, regulatory or public authorities where required.

All third-party service providers are required to handle personal data in accordance with UK data protection law and are only permitted to use it for the purposes for which it was shared.

10. UK-Only Sales & International Data Transfers

UK-Only Sales Restriction: Microsave® currently processes orders and ships exclusively within the United Kingdom. We do not offer sales or shipping to customers within the European Union. As a result, certain EU-specific e-commerce requirements that apply to businesses selling directly to EU consumers do not apply to purchases made through our website.

International Infrastructure Transfers: While our sales are restricted to the UK, some third-party platforms we use process personal data outside the UK (for example, Mailchimp is based in the United States). Where this happens, we take appropriate steps to ensure personal data is protected in line with UK data protection requirements, including relying on UK adequacy regulations or appropriate contractual safeguards such as the UK Extension to the EU-US Data Privacy Framework.

11. How Long We Keep Personal Data

We keep personal data only for as long as necessary for the purpose it was collected and to meet legal, accounting or business requirements. This may include keeping:

  • Customer and order records for the duration of the relationship and a reasonable period afterwards.
  • Financial and accounting records for the period required by law (strictly six years following the end of the financial year).
  • Enquiry and prospect information for a reasonable period to manage follow-up and business development.
  • Marketing subscription records until you unsubscribe or ask us to remove your details.
  • Suppression records where needed to ensure we respect opt-outs.

12. How We Protect Personal Data

We take reasonable steps to protect personal data from loss, misuse, unauthorised access, disclosure, alteration or destruction. These steps include secure email and cloud systems, password protection, access controls and careful selection of third-party service providers.

We have procedures in place to manage any suspected data security breach and will notify you and any applicable regulator where we are legally required to do so.

13. Your Data Protection Rights

Under UK data protection law, you have rights in relation to your personal data. These may include the right to:

  • Be informed about how your information is used.
  • Access the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to delete your information in certain circumstances.
  • Ask us to restrict how we use your information.
  • Object to our use of your information, including for direct marketing.
  • Withdraw consent where we rely on consent.
  • Request the transfer of your information in certain circumstances.

To exercise any of these rights, please contact us at accounts@regale.co.uk. We may need to verify your identity before responding.

14. Subject Access Requests

You have the right to ask for a copy of the personal data we hold about you. This is known as a subject access request. We will respond without undue delay and strictly within one calendar month of receipt.

To make a subject access request, please email accounts@regale.co.uk.

15. Data Protection Complaints Procedure

Under UK data protection law, you have the right to make a data protection complaint directly to us if you are unhappy with how we have collected, used, stored or handled your personal data. In accordance with the Data (Use and Access) Act 2025, you are requested to submit your complaint directly to us in the first instance to allow for internal resolution.

To submit a complaint, please email accounts@regale.co.uk and include:

  • Your name.
  • Your contact details.
  • What your complaint relates to.
  • Any relevant background information.
  • What you would like us to review or resolve.

We will formally acknowledge your complaint within 30 days of receipt. We will then investigate the matter, keep you informed if additional time is needed, and respond without undue delay with the outcome of our review.

If you remain dissatisfied following our response, you have the right to escalate your complaint to the Information Commissioner’s Office. See Section 16 for details.

16. Complaining to the ICO

You also have the right to complain to the Information Commissioner’s Office (ICO) if you are unhappy with how your personal data has been handled. You can contact the ICO at www.ico.org.uk.

17. Updates to This Policy

We may update this privacy policy from time to time to reflect changes in our business, legal obligations or data protection guidance. The latest version will always be available on our website.
